How can a tech staffing firm use AI to screen candidates?
Have AI rank candidates against the requirement and show its reasons, then let the recruiter decide. Start with the reqs you fill most often, measure hours per recruiter in your ATS, and test the results for bias. Guava’s $4,000 AI Assessment ranks screening against your other workflows.
How to set it up
- 1. Turn the req into criteria Must-haves, nice-to-haves and deal-breakers, written down and tied to the job. Vague requirements produce vague rankings.
- 2. Rank with reasons shown Each candidate gets a place in the list and the evidence from the résumé behind it, so a recruiter can check it in seconds.
- 3. The recruiter decides AI ranks and drafts; recruiters decide. Nobody gets rejected by the software alone.
- 4. Reuse the screen Draft the submittal for the account manager from the résumé and the screen, and outreach for the next candidates on the list.
- 5. Measure Hours back per recruiter per week in your ATS, against a baseline taken before you start.
- 6. Test for bias Compare who gets ranked up and down, and keep the records. Leave out anything that can stand in for a protected class, such as a zip code.
Where screening goes wrong
Screening errors are hard to spot, because a candidate who was wrongly ranked down just never gets a call. That’s the reason to keep reasons visible and spot-check the bottom of the list as well as the top. Several US laws also cover this now, including for firms hired to recruit and screen. The AI hiring rules
What it can be worth
The sample AI Assessment for a fictional staffing firm with 45 internal staff ranks screening first, at 30 hours a week back for $400 a month in AI tools. With submittals, the next step comes to about 46 hours a week back for about $550 a month. Those numbers are illustrative, not client results.
How Guava does it
- AI Assessment $4,000, 2 weeks. Most staffing firms start here. Every workflow ranked Build, Pilot or Don’t build, with estimated hours back and tool costs. Credited in full toward the Rollout.
- AI Rollout $25,000, 3–6 weeks, or $21,000 after the Assessment credit, for the recruiting desk: 3–5 use cases with measured baselines, then hands-on training for your recruiters and account managers.
- Ongoing Optimization & Governance $4,000 a month, cancel anytime. Adoption, workflow upkeep and AI governance your team learns to run itself.

Questions staffing owners ask
Will AI make hiring decisions?
No. AI ranks and drafts; recruiters decide. I don’t recommend auto-rejecting candidates.
Which workflows do you start with?
Usually screening candidates against the requirement, submittal write-ups for account managers, and job descriptions and outreach drafts. The Assessment ranks them for your desk.
Is AI screening legal?
It can be, with conditions that vary by place: some require bias audits, notices to candidates or records. A person making the final decision doesn’t always take you outside these rules, so have your lawyer review it.
Do we have to replace our ATS?
Not usually. The Assessment looks at what your ATS can already do and export before suggesting anything new.
What about our ATS’s built-in AI?
It counts. If it scores or ranks candidates, put it in your inventory and ask the vendor for its bias testing.
